Manage tasks

This feature requires the Team capability tier (the Team or Business ). During the beta, every project is on the free Solo tier, so this feature is locked by default: go to Settings ▸ Billing and request Team access to unlock it.

Track documentation work: what needs to be written, reviewed, or updated. Create tasks from the project dashboard, assign them to team members, and filter by status or type.

Task statuses

Tasks move through 5 statuses:

Allowed transitions

Tasks can move forward or backward in the workflow:

  • Draft → Planned or straight to In Progress

  • Planned → Draft (deprioritized) or In Progress

  • In Progress → Planned, In review, or straight to Done

  • In review → In Progress (sent back for rework) or Done

  • Done → In Progress (reopened)

Create a task

  1. Go to the Dashboard for your project.

  2. In the Tasks section, click Add task.

  3. Type a title describing the work in the Task title field.

  4. Click Add (or press Enter).

The task appears in the task list with a Draft status and the default Workflow type.

Create tasks directly from the dashboard when triaging work. The inline creation form keeps you in context, with no need to navigate to a separate page.

Update task status

Each task row shows a status dropdown. Click it to open the menu and pick one of the task's allowed next statuses. Each row also displays the task's type as a badge and its due date when one is set.

Filter tasks

Use the filter chips above the task list to narrow what is shown:

  • This week: tasks due in the current week

  • Overdue: tasks past their due date (the chip shows a count when any are overdue)

  • All: every task in the project

The list shows the first 10 matching tasks, with a "+N more" note when there are more.

Overdue tracking

Tasks with a past due date are automatically flagged as overdue. The Overdue filter defaults on whenever the project has overdue tasks, and each overdue row shows a red due date with a warning icon, making these tasks easy to spot during standups or planning.

Tasks are organizational tools for your authoring team. They do not affect publishing or content output; a topic can be published regardless of whether its associated tasks are complete.
